West Vancouver Soccer Club U12-U18 Divisional Coaches and Managers
Thank you very much for volunteering to coach or manage one of our teams. Your assistance is critical: without it, the kids wouldn’t be playing!
As our 2010/2011 season rapidly approaches, it is time to start gearing up. You should have already received your team list. Please let your Age Group Coordinator (Attachment A) know if there are any errors or omissions. PLEASE NOTE: NO PLAYER MAY BE ADDED TO A TEAM LIST WITHOUT PRIOR APPROVAL BY THE CLUB. Please advise your Age Group Coordinator if a player has decided not to play this season.
Please read the following guidelines carefully, prior to the season. Key dates are as follows:

West Van Legion (upper hall) on 18th Street

7:45-9:00 U13-U18.
There are 2 meetings scheduled for coaches and managers (times as above) to assist you in preparing for the upcoming season. Please ensure at least one team official attends your respective age group meeting. Game balls will be distributed at this meeting.
2. ID Cards, Criminal Record Checks, Code of Conduct - West Van Legion (upper hall) on 18th Street on Thursday, September 23rd, 7 P.M.
ID cards issued with proof of Criminal Record Check only and code of conduct forms will be processed for all U12 through U18 teams.
I.D. Cards:
I.D cards will again be required for all players and team officials (coaches and managers) from U12 to U18. ID cards must be taken to each game and must identify the player and team officials by their registered team. Players and team officials returning to the same team as last season (with the same team name) will have cards updated by affixing “10” stickers; however, if the team name has changed, each player will require a new card. New players to a team will require new cards (even if the player played for another W.V. team last season).
· To complete ID cards, obtain a 1” x 1” photo, head/shoulder shot, from each player/team official; affix to, and complete ID cards (blank cards to be provided at coaches’ meeting, September 7th).
· For any player not registered on the North Shore last season, obtain a copy of player’s birth certificate or passport.
· All U16 players must have new photo I.D with current, up-to date photos. This is to ensure that photos are reasonably current.
· Return to your coordinator any ID cards for players or staff not returning to your team.
· Please note each girl’s team requires an adult female team official who will need an ID card.
Criminal Record Check: All Team officials (coaches and managers) must also provide proof of a Criminal Record Check. These forms are on the website “Criminal Record Check” tab along with the WVSC letter that must be taken to the WVPD www.westvansoccer.com . Without proof of CRC no ID card can be issued on ID card night. We are assured that these forms will remain confidential and ask you to remember that this is in the best interests of our children.
Coaches Code of Conduct: All coaches must also sign a code of conduct, to be returned on ID card night. A copy of the code of conduct is attached – Attachment B.
3. Practice Fields and Times
Your regular practice schedule starts the week of Monday September 6h. If you have not already done so, please contact Claudia Sparling at fields@westvansoccer.com regarding your practice time and home game time. No practices are allowed on grass fields. The Club supports the Municipality in its efforts to maintain control of the use of the fields and expects ALL Club teams to co-operate.
4. Games Schedules
Our first games will be played the weekend of September 10, 11& 12h. League schedules and cup schedules will be posted on www.westvansoccer.com under 4 District Boys Soccer League and 8 District Girls (BC Coastal Girls Soccer League)
Game Day Requirements: For games, you need to provide to the referee a team list, in duplicate, including jersey numbers – also provide the ID cards to the ref (and remember to get them back). Please ensure there are no duplicate jersey numbers on any team. In the event of a jersey colour conflict between teams, the home team must change jerseys.
Linesmen: All U12-U15 teams must provide one linesman per game to run a line. For U16 – U18 games the District will arrange for 2 qualified Assistant Referees (linesmen) for each game.
District Liaisons - Game Scores, No Shows and No Linesmen: You must provide your game scores to our 4 District (boys) and 8 District (girls) liaisons within 24 hours of each game. Also inform this contact if the other team is a “no show” or if, for U16 and up, you have no linesmen. These contacts will be listed on www.westvansoccer.com with schedules.
Referee No Shows: Eric Keller is our Referee-In-Chief - please notify him at 604-817-1650 or referee-in-chief@westvansoccer.com
5. Fields, Locations & Closures
Home teams must call their opposition by Thursday night to confirm field and game time (team contact information is on www.westvansoccer.com
If your home field is closed due to weather conditions or other decisions of the Municipality, the all-weather alternate field will be announced late Friday afternoon on the Club’s field line at
926-6863. You should check this line every Friday after 3 P.M. It is your responsibility to contact the opposition and inform them of any changes. In the event of field closures, the club will notify your referee of the change. Updated field closures can be found at:
http://www.westvancouver.ca/fields also www.westvansoccer.com
Home page “Handy Links” please check for updates through out the weekend
If your field is open but the weather changes on us and you arrive on game day to find standing water, soft spots or frozen (frost) fields, you must move to your all weather alternate. Failure to follow and respect grass guidelines will result in a fine and loss of grass field privileges.
Field Prep: The first team on a field is responsible for field lining, hanging of nets and placing of corner flags.
Field Take-down: The last team on a field is responsible for taking down and locking up equipment. Please note, if there is no team following your game (even with mid-day games) please take-down the equipment. On Artificial Turf, field prep and take-down are limited to corner flags, last WVSC team on the field must put the flags away into the equipment box on Ambleside D AT, south corner, general access key opens box.

Artificial Turf Etiquette: Teams must be ready to leave (all equipment gathered and team bench cleared) the Artificial Turf field FIVE MINUTES before their END TIME for transition time between teams. Teams must not enter the fenced field area until their START TIME. Teams must warm up outside fenced area. This will help avoid conflict between groups and equipment mix- ups. This applies to practice and game slots.
Turf guidelines are posted on the fences. In short, only team players, team officials and game officials can be inside the fenced areas; no metal cleats permitted; no food of drink other than water in plastic bottles permitted; no tents with spikes permitted on the turf.

Divisional Girls - 8 District Guide/BC Coastal Girls League

All Teams - WVSC Handbook
The West Vancouver Soccer Club Handbook is a resource for all coaches and managers. The Handbook explains the policies and procedures of the Club, and covers such topics as Club Operations, Role of Coordinators, Uniforms and Equipment, Player/Team Placement Policies, Mini Soccer, Divisional Soccer, etc. Coaches and managers are encouraged to review the WVSC Handbook at the start of the season to ensure you are familiar with all of the Club’s policies and procedures. These resources provide information and phone numbers (also under Club Contacts on our website) to cover almost every eventuality and we ask you to please consult theses resources before phoning coordinators and Club officials.
We would like to inform/remind all coaches that at the Divisional Bronze, Silver and Gold levels, each player of a team must be allowed to play for a minimum half a game.
Our website at www.westvansoccer.com has information on tournaments and various links to other soccer sites. League schedules and standings for the boys and girls teams will also be posted there.
We wish you the best of luck in the upcoming season and hope you and your players will have a fun and enjoyable season of soccer. If you have any questions, please contact your Age Group Coordinator.
